How-To: Scan Documents Using HP Color LaserJet Pro MFP M4xxx Printers

Use the printer control panel to scan a file directly to an email address.  The scanned file is in PDF format and sent as an email attachment. These instructions apply to any of the HP Color LaserJet Pro MFP M477fdn models listed here: https://igppdb.ucsd.edu/printers-sort.php?model=asc


NOTE: Most email services have a limit of 25MB attachments. To work around this limitation, you may need to break the job up into smaller jobs. 

Basic Scan Job

  1. Load the document in the document feeder or flatbed scanner.
  2. From the Home screen on the printer control panel, touch the Scan button on the screen. 
  3. Select Scan to E-mail.
  4. Select Send an E-mail.
  5. Select the Magnifying Glass and search for the address to which you want to send the file.
    1. Enter at least three (3) characters of the Active Directory (AD) username to search.
    2. Select Find
    3. Select the appropriate email address.
  6. Select Next.
  7. Select Scan.

Scan Multiple Pages Using Flatbed Scanner In A Single Job

  1. Load the document in the flatbed scanner.
  2. From the Home screen on the printer control panel, touch the Scan button on the screen.
  3. Select Scan to E-mail.
  4. Select Send an E-mail.
  5. Select the Magnifying Glass and search for the address to which you want to send the file.
    1. Enter at least three (3) characters of the Active Directory (AD) username to search.
    2. Select Find
    3. Select the appropriate email address.
  6. If necessary, select Subject line to change subject.
  7. Select Next.
  8. Select Settings.
  9. Select Scan Source.
  10. Select Flatbed Scanner.
  11. Select Multiple Pages.
  12. Select Scan.
  13. After 1st page is scanned in, select OK to scan in next page. 
  14. After last page is scanned in, select Done to complete scanning process and send the email.
